Senior Operations Manager

Job Description

Are you a seasoned Operations Manager with experience in the legal industry? ZR Per Diem is seeking a Senior Operations Manager to oversee the operations, which includes per diem reporting, recruitment and calendar departments, to deliver its clients the best in class per diem court appearances and deposition coverage. The Operations Department at ZR Per Diem is committed to recruiting the most experienced, professional attorneys, process coverage requests and provide fast, accurate reports, while providing continuous concierge client support.

We are offering an exciting opportunity to join the management team of one of the fastest growing legal service provider companies in New York.

What the Position Requires:

  • Responsible for overseeing the daily operations of a legal service provider and ensure that the recruiting, reporting and calendar departments are productive and there is constant coordination among them.
  • Regular audits of processes, policies and procedures to ensure that the department is operationally efficient; identify ways to drive efficiencies and create optimizations by utilizing the technology provided by ZRPD.
  • Assist with the deployment and implementation of new technology and features as they are released and work with departmental heads to assist with the integration and streamlining of systems across all departments within the organization.
  • Interface with clients and handle daily issues and concerns and provide innovative solutions.
  • Align with the sales, marketing and retention to ensure that the internal team has the capacity to handle the company's growth and new business.
  • Work with the other leaders in the organization to develop growth strategies and new products that will be supported by Operations.
  • Collaborate and interact with the executive directors, general counsel, technology director and accounting department manager to ensure that all clients' needs are handled across all departments.
  • Focus on how to provide a high quality, fast product to clients on a regular basis.
  • Optimize the job duties of the team members in Operations to provide excellent customer service to its clients consistently.

  • You have 3 + years of experience managing personnel/teams in a business setting, preferably in the legal field.
  • You have 2+ years of experience developing processes and creating systems.
  • You have 2 + years experience managing middle level managers or supervisors.
  • You are well versed in Microsoft office and can build detailed reports.
  • You have experience in supervisory/managerial activities (scheduling, disciplinary administration, etc).
  • You are timely, professional and organized.
  • You have excellent written communication skills.
  • You are an adept communicator and have experience with being clear and transparent in prior roles.
  • You are willing to be flexible and be on call for your team if needed.

Customer Service/Support Representative

Description

We are looking for a proactive, service-oriented team player to join our collaborative work environment as a customer service representative.

Responsibilities

  • Provide superior customer support to clients in the legal field
  • Answer incoming client telephone calls
  • Process requests for service in a fast-paced environment
  • Utilize listening, questioning and reasoning skills to identify, research and resolve client issues and requests
  • Provide effective and timely follow up and resolution to a range of client inquiries
  • Apply the elements of building positive relationships and proper etiquette with different client personalities

Calendar Department Assistant

Description:

We are seeking a vibrant, self-starting individual to grow with an innovative legal startup. The ideal candidate will have a positive attitude and a proactive approach towards duties. Their ability to thrive in a teamwork environment is essential.

Responsibilities/Tasks:

  • Heavy communication with law firm clients and per diem staff attorneys
  • Obtain working knowledge of court locations, appearance procedures, protocols and other legal proceedings throughout NY and NJ
  • Master all steps of processing client requests from start to finish
  • Address and resolve incoming client issues in thorough and timely manner
  • Client account management and customer support

Requirements:

  • Proficiency in Gmail, MS Word, Excel, and basic computer skills a must
  • Strong analytical, critical thinking, and problem-solving ability
  • Ability to multitask in a fast-paced environment

Reporting Department Assistant - Entry Level

Description

We are seeking a detail-oriented individual to join our Reporting Department. The ideal candidate will have the ability to work in a fast-paced environment.

THIS IS AN ENTRY LEVEL POSITION.

Part-time and full-time hours available.

Responsibilities

  • Read and review attorney reports regarding court appearances and depositions
  • Proofread for grammar and spelling accuracy
  • Ensure all reports are professional and of the highest quality
  • Communicate with per diem attorneys regarding additional information

Requirements

  • Writing background preferred, but not required
  • Ability to identify common written errors
  • Experience in a legal office setting a plus
  • Proficiency in Gmail, MS Word, Excel, and basic computer skills a must
  • Ability to multitask in a fast-paced environment
  • Strong interpersonal skills and the ability to work independently and in a team environment
  • Exceptional time management and ability to prioritize tasks

Contract Interviewer

Description:

We are looking for an individual with excellent communication skills to conduct per diem attorney interviews. You will be administering a pre-scripted interview to vet potential candidates. All interviews are phone interviews.

Training, interview questions, and interview script will be provided.

This is a remote contract position with flexible hours.

Qualifications:

  • Highly proficient verbal communication skills required.
  • No legal background required.
  • Proficiency in Gmail a plus.
  • Strong time management skills.
  • Commitment to complete interviews on a weekly basis is highly preferred.

Job Type: Contract

Salary: $15.00 /hour
